How do I use the bulk affidavits feature to expedite my affidavit workflow?
You can create, upload, and view affidavits individually within a particular notice, using the Notice Details page (see here for more details). However, if you want to process affidavits more quickly, you can use our Bulk Affidavits feature to create and upload multiple affidavits at once.
To download and upload your affidavits in Column in bulk, follow these steps:
On your home page table, click the "More" button. Click "Download Affidavits" to begin.
Specify your date range. Select "Affidavits awaiting publication", "All incomplete affidavits", or "Specific publication date," depending on your workflow preferences. Then, click Download.
Note: You'll only be downloading active affidavits. This means that if you have not created an invoice for a notice, and/or the notice has not run yet (in other words, the publication date has not passed), then the affidavit will not be included in your download.
You'll see a .zip file appear in your downloads. Open this file, and sign and notarize your affidavits as usual. (This may mean printing and re-scanning).
Note: If you can, avoid changing the file name that gets automatically assigned to each affidavit. We'll use this name to auto-match the file to the correct notice when you go to upload completed.
When you're ready to upload your affidavits, click "More" and then "Upload Affidavits".
Drag-and-drop all your files at once, or click "Upload a file" and select the file(s). You'll see the files appear under the "Affidavit" left-hand column.
On the "Notice" right-hand column, you may see that we auto-match the affidavit file to the correct notice. If we do not auto-match, you will need to match each file to the notice yourself. Click the dropdown next to each affidavit file and select the particular notice.
Click "Upload", and you're done! The affidavits will immediately be uploaded to the notices, and your customers will be notified that their affidavits are available.
Common Questions
When I download affidavits, it says "There are no affidavits to be downloaded on this date." Why?
There are no active affidavits for that date. There may be notices on that publication date, but they are not yet ready for affidavit upload.
In order for the notice to be ready for affidavit upload:
The notice must have an invoice created (note that the invoice can be either paid or unpaid; that does not affect this), and
The notice must have run in the paper. In other words, the final publication date must be today or in the past.
Which affidavits are included in this download?
Only active affidavits, or in other words, only affidavits for notices that are eligible for affidavit upload. See the above question for more details.
When uploading, my affidavits didn't auto-match to the notice.
You will need to match them manually by clicking the dropdown next to each file name. If you forget which file is which, you can click the preview button next to the file name.
If you would like your affidavits to auto-match, please keep the same file name as when downloaded in the bulk download file.
Can I use the bulk download feature, but upload them one-by-one inside each Notice Details screen?
Yes. You can bulk download the files and upload them individually. Similarly, you could download files individually and bulk upload them. You do not have to use both the bulk download and bulk upload options.
Why is the name of my notice not appearing as an option when I go to upload an affidavit?
The notice must not be ready for affidavit upload! Only notices that have an invoice created and whose final publication date is today or in the past will appear.
Note that you will not encounter this if you use the bulk download feature first. That way, you will only download affidavits for notices that are ready for affidavit upload.
I want to download affidavits for a specific publication date. What if a notice has multiple runs?
If you download affidavits for a specific publication date, it pulls notices based on the final publication date.
