How do I process notices that haven't been formatted?
If your customer tries to submit a display notice or a file that is particularly large or complex (>5 pages, >40 MB, or images >50 MP), they have the option to "submit the file without formatting." That means you will receive the original file rather than a pre-formatted proof. You will be responsible for formatting the notice and preparing it for publication. Your customer can leave a note letting you know if they have any specific formatting requests.
When you open this kind of notice, a message will let you know it was submitted without a proof. Click continue to confirm that you will format the notice and submit a proof before publication.
Click Download to save the file to your computer. Then, you can proceed to lay out the notice. You can do this in Column or use whatever software you use to lay out other advertisements. Check the customer's design notes to see if they have specific requests for how to format the notice.
If you want to format the notice in Column:
Click the edit button to edit the notice.
Remove the uploaded file — but first, download it to your computer if you haven't already.
Re-upload the original file.
If the file is a PDF or image, you can submit it as a display ad or convert it to text. If the file is text-based, you can edit the notice content once the file finishes loading. If the file takes too long to load, you can format the notice as a display ad outside of Column.
Make any final changes, then submit your edits.
If you want to format the notice outside of Column:
Download the file if you still need to do so.
Turn the file into a print-ready notice using the pagination or formatting software your publication uses to create ads such as classifieds.
Return to Column. In Column, click the edit button to edit the notice.
Remove the uploaded file, then upload your formatted version.
If the file is a PDF or image, you can submit it as a display ad or convert it to text. If the file is text-based, you can edit the notice content once the file finishes loading.
Make any final changes, then submit your edits.
Once you've uploaded a formatted version of the notice, you can create an invoice for the notice. The customer will receive both the updated proof and the invoice via email.
Restrict "submit without formatting."
If you have the resources or time to format notices on behalf of your customers, you can allow their ability to submit files without formatting. Go to My Organization > Design and Layout > Layout and turn on the toggle labeled "Restrict submit without formatting?" If this toggle is turned on, customers will only see the option to submit without formatting if their file takes over 25 seconds to upload to Column. (If the toggle is not turned on, customers can submit any PDF, image, or large file without formatting.)
